Core Mailing Lists for Staff and Students
Undergraduate Programme Mailing Lists | ||
All students on the specified undergraduate programme will receive mail sent to the addresses listed below. You can mail students who are in a particular year on a programme by appending "-yearN" to the programme name, where N is the year number (0, 1, 2 or 3). For example, Computer Science students in year 1 would receive mail sent to bsc-computer-science-year1@doc.gold.ac.uk. | ||
Following the spring exams, students who have graduated are moved to the graduates list for their programme. You can mail the graduates from a programme in the current academic year by appending "-graduates" to the programme name. For example, Creative Computing graduates would receive mail sent to bsc-creative-computing-graduates@doc.gold.ac.uk. To email graduates from all undergraduate programmes in the current academic year, you can just use graduates@doc.gold.ac.uk. | ||

Access to the Mailing Lists
All of the mailing lists above are generated automatically from the departmental database. They are provided for use only by staff in the Department of Computing. Staff must have a staff record in the departmental database in order to send or receive mail for these lists.
Receiving Mail
In order to receive mail from the mailing lists, staff must enter their email address into the Personal Email field in their staff record.
Sending Mail
To send mail to a mailing list, staff must authorize the address they are sending the mail from by adding it to the Authorized Emails list in their staff record. The From: address of mail sent to a mailing list must match an authorized email exactly; if it does not, it will be rejected by the list.
Core Mailing Lists
In the hierarchy diagram above, the lists shown in bold are 'core' lists. Each core list represents a distinct group of staff or students in the department. Staff are automatically added to a core staff list according to the type of post they hold within the department (indicated by the Post Type field in their staff record). Students are added to the core student lists according to their student status (foundation, undergraduate, postgraduate or research). The non-core (non-bold) lists are aliases for combinations of other lists; mail sent to an alias list is forwarded to all lists below it in the hierarchy. For example, mail sent to all@doc.gold.ac.uk will be forwarded to all staff and students in the department.
Additional Staff/Student Lists
The Additional Staff Lists and Additional Student Lists address groups selected according to various properties in the departmental database other than post-type and student-status, such as a subset of personal tutors or students on a particular course. Many of the list names are shown above with upper-case letters to represent sub-groups; to use the list, each upper-case letter should be replaced with a value that selects the required sub-group.
Undergraduate & Postgraduate Course Lists
Mail sent to the mailing lists for students on a particular course (course-C@doc.gold.ac.uk) are delivered to all students registered on the course and to all staff assigned to the course, using the email addresses from their staff/student records. Unlike most other mailing lists, which only accept mail from staff, the mailing lists for postgraduate courses accept mail from the students on those courses to facilitate course-related discussions.
Managed Mailing Lists
Managed mailing lists are manually created on request by database administrators. They can include any addresses, not just members of the department; list membership is managed by members of staff designated as mailing-list administrators. The managed lists currently defined (and their members) can be seen by clicking on Managed Mailing Lists on the Departmental Database page of the departmental staff intranet.
