About the Mailing Lists
These mailing lists are provided for use only by staff in the Department of Computing. In order to receive mail from the mailing lists, staff must enter their email address into the Personal Email field in their staff record. To send mail to a mailing list, staff must authorize the address they are sending the mail from by adding it to the Authorized Emails list in their staff record. The From: address of all email sent to a mailing list must match an authorized email exactly; if it does not, it will be rejected by the list.
Main Departmental Mailing Lists
A group of lists which together form a hierarchy that includes every member of the department. Some are 'core' lists (shown in bold in the Main Departmental Mailing Lists diagram) which represent the distinct groups within the department as defined by the departmental database; every member of the department belongs to at least one core list. The remaining non-core lists are aliases for combinations of other lists; mail sent to an alias list is forwarded to all lists below it in the hierarchy.
Membership of the core mailing lists is automatically determined from staff/student profiles in the departmental database. The core staff list that each member of staff belongs to is determined by the Post Type field in their staff record. Membership of the core student lists is determined by progression levels in student profiles.
Additional Staff/Student Lists
The lists in the Additional Staff Lists and Additional Student Lists diagrams address groups selected according to various properties in the departmental database, such as a group of personal tutors or students on a particular course. Many of the list names in the diagrams have upper-case letters to represent sub-groups; each letter should be replaced with a value that selects the required sub-group.
Managed Mailing Lists
Managed mailing lists are manually created on request by database administrators. They can include any addresses, not just members of the department. List membership is managed by members of staff designated as mailing-list administrators. The managed lists currently defined (and their members) can be seen by clicking on Managed Mailing Lists on the Departmental Database page of the departmental staff intranet.
