Department of Computing Mailing Lists

The Department of Computing maintains a number of mailing-lists that can be used by staff to contact various groups of staff and students within the department. All lists use the domain doc.gold.ac.uk (eg. students@doc.gold.ac.uk).

Main Departmental Mailing Lists

The diagram below shows the main departmental mailing lists and their hierarchical organization. Lists shown in bold are 'core' lists whose members represent distinct groups within the department as defined in the departmental database; every member of the department (all staff and students) belongs to at least one core list. The non-core lists are aliases for combinations of other lists; mail sent to an alias list is forwarded to all lists below it in the hierarchy.

Core Staff Lists

The core staff lists are generated from staff records in the departmental database (see the Staff Records page on the departmental staff intranet). The following settings in each staff record are used by the mailing lists:

Post Type - Determines the core staff list that the member of staff belongs to. Set by database administrators when creating staff records. Staff without a valid Post Type will not receive mail from the mailing lists.

Personal Email - The forwarding address for all mail sent to lists that the member of staff belongs to. Staff without a valid email address in this field will not receive mail from the mailing lists.

Authorized Emails - A list of email addresses authorized by the member of staff to send mail to the mailing lists. Mail sent to mailing lists will be rejected if it has a From: address that does not exactly match an address listed in this field.

Core Student Lists

Membership of core student lists is determined by student profiles in the departmental database. The table below shows the progression levels of students included in each list and the database table they are selected from.

Other Departmental Mailing Lists

Membership of the main departmental lists is based on Post Type (for staff) and Progression Level (for students). The following lists are defined for groups based on other properties in the departmental database, such as all level 1 personal tutors or all students on a particular course. Many of the list names are shown with upper-case letters; each letter should be replaced with a value that selects the required group.

Non-Departmental Mailing Lists

Membership of the departmental mailing lists is automatically determined by staff/student profiles in the departmental database. Non-departmental mailing lists are manually created by database administrators and can include addresses both inside and outside the department. Membership of these lists is managed by members of staff designated as mailing-list administrators. The lists and their members can be seen by clicking on Mailing Lists on the Departmental Database page on the departmental staff intranet.
